Confirmed and prospective podcast guests
The type of personal information we collect
- Full name, email address, mobile phone number (optional), address (optional), photos of person held hostage
- Information related to the hostage’s captivity and background as well as the guest themselves that they wish to disclose publicly. This may include information related to their health, financial difficulties and ongoing or previous legal proceedings.
How we get the personal information and why we have it
Most of the personal information we process on confirmed and prospective podcast guests is provided to us directly by them for one of the following reasons:
- To record a podcast episode that will be made publicly available to raise awareness of a specific hostage’s case and/or hostage diplomacy in general.
We also receive personal information indirectly, from the following sources in the following scenarios:
- We prepare for each podcast interview by researching the relevant hostage’s case. We refer to independent and credible sources of information on this hostage that are publicly available such as government statements and news articles. We also lookup social media posts made by the hostage’s family or representatives.
We use the information given to us by confirmed or prospective guests to do the following:
- Communicate with the guest.
- Agree legal terms and conditions with these guests for their podcast interview.
- Setup podcast pre-interview meeting where we agree questions that will be asked.
- Create interview script for the host.
- Record podcast interview and share the episode publicly.
We may store the non-publicly available information we collected from these guests on systems provided to us by our third party technology providers, Apple and Microsoft. The podcast episode itself will be made publicly available on our website, major podcast directories, and on our social media channels including YouTube, Facebook, Twitter and Instagram.
The lawful basis we rely on for processing this information is we have a contractual obligation.
How we store personal information of our guests
- Personal information of our current and prospective guests is securely stored. The devices and applications used to store this information are encrypted. The applications used to store this information that are accessible over the internet all require multi-factor authentication.
- All information collected on current and prospective guests is stored in the UK and/or the European Union.
- Legal agreements with our guests as well as relevant emails will be stored as long as our business continues to operate.
- Contact details for our guests will be stored as long as our business continues to operate.
- We own the rights to all our podcast episodes that are publicly available so these will be stored indefinitely.
- All other information related to our guests will be deleted within 2 years of our last communication with this guest.
- Personal information stored on online applications and our devices will be deleted securely in a manner that we can not recover this information.

The type of personal information we collect
- We use a company called ConvertKit to provide us with a platform to manage our email list subscribers.
- The following information is collected by ConvertKit: identification and contact data (name, email address), IT information (IP address, usage data, cookies data, online navigation data, location data, browser data, access device information), personal interests or preferences (purchase history, marketing preferences, website preferences, publicly available social media profile information).
How we get the personal information and why we have it
Most of the personal information we process on our mailing list subscribers is provided to us directly by them for the following reason:
- To receive our email newsletter called the Hostage Briefing which we send out on a regular basis.
We also receive personal information indirectly, from the following sources in the following scenarios:
- ConvertKit may collect the following information indirectly using cookies, unique identifiers, web beacons and similar tracking technologies: IT information (IP address, usage data, cookies data, online navigation data, location data, browser data, access device information), personal interests or preferences (purchase history, marketing preferences, website preferences, publicly available social media profile information).
We use the information given to us by our mailing list subscribers to do the following:
- To send our subscribers our email newsletter called the Hostage Briefing on a regular basis. This newsletter provides updates on all cases we’re working on as well as new episodes.
- To confirm whether or not and when our subscribers have clicked on the double opt-in agreeing to join our mailing list.
- To know where our subscribers are located geographically so we know which privacy regulations apply.
The lawful basis we rely on for processing this information is the consent of our mailing list subscribers. Our subscribers are able to remove their consent at any time. They can do this by contacting contact@senseofdutymedia.com or by clicking the ‘unsubscribe’ link at the bottom of any of our newsletter emails. The withdrawal of consent does not affect the legality of the processing carried out on the basis of consent until the point of revocation.
How we store personal information of our mailing list subscribers
- Personal information of our mailing list subscribers is securely stored. The mailing list data is stored and transmitted in encrypted format by ConvertKit. Backups of our mailing list are also stored in encrypted format. Access to ConvertKit requires multi-factor authentication.
- Information collected by ConvertKit on our mailing list subscribers is stored in the United States and backups of our mailing list are stored by us in the UK.
- We will store this mailing list subscriber information as long as we continue to send out the Hostage Briefing newsletters.
- The mailing list subscriber information stored will be securely deleted in a manner that it cannot be recovered. We will require ConvertKit to do the same.
People who send us questions via our website or email

- Name, email address and the information a person chooses to include in their query.

Most of the personal information we process on people who send us questions is provided to us directly by them for the following reason:
- To ask us a question.
We use the information given to us by people who send us questions to do the following:
